1. ACCOBAT'S CONTACT FORM TERMS

Thank you for your interest in being contacted by our company.

By requesting to be contacted, you accept these terms for our processing of your personal data.
By filling out the form, you agree to be contacted by us:

Accobat A/S

If you have any questions, wish to withdraw your consent, or have any other queries, please feel free to contact us at info@accobat.com, and we will handle your request as soon as possible.

1.1 ACCOBAT'S DATA POLICY
This data policy applies to Accobat's processing of personal data in the broadest sense, pursuant to Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data.

1.2 DATA CONTROLLER
Accobat's management is responsible for ensuring that all personal data is collected, stored, used and deleted correctly. As Accobat's activities are not primarily based on data processing, no Data Protection Officer (DPO) has been appointed.

1.3 TYPES OF DATA
Accobat collects and uses the following types of data:

Employees: Name, date of birth, marital status, address, telephone number, email address, next of kin's name, address, email address and telephone number, bank details.
Accobat's board of directors: Name, personal identification number, marital status, address, telephone number, email address, tax information, bank details, and, where applicable, passport and/or driving licence details. Name, address, telephone number, email address, company VAT number/NACE code where applicable, job title, industry, role and similar information for segmentation purposes. No sensitive personal data. People participating in work trials or work experience: Name, address, telephone number, email address.

1.4 CATEGORIES OF PERSONAL DATA
Personal data can be divided into ordinary and sensitive data.

Ordinary personal data includes, for example, information used for identification, personal identification numbers, addresses, email addresses and financial information. Sensitive personal data includes, for example, information about racial or ethnic origin, political, religious or philosophical beliefs, significant social circumstances, health, sexual matters, trade union membership, biometric data and criminal convictions.

1.5 DATA STORAGE AND SECURITY
A distinction is made between storing ordinary personal data, including personal identification numbers, and particularly sensitive personal data.

Accobat primarily stores personal data in payroll and time-tracking systems, both of which are cloud-based solutions. They are password-protected. Sensitive personal data is stored in separate files or systems, protected by a password other than the one used for general access to the computer. Access is restricted to senior management and employees whose roles involve working with this data.
Case files and the safe are kept in the office, which is either staffed or locked. Only Accobat employees have a key to the office. Outside normal office hours, the office, as well as the rest of Accobat's leased premises, is protected by burglar alarms connected to a monitoring centre.
Computer backups are stored in Microosft Azure. MailChimp, GoToWebinar and similar services are also data processors.

1.6 USE OF DATA
Accobat only collects personal data when there is a clear need and purpose. As a general rule, Accobat only uses data for the purposes for which it was collected or provided by the person concerned. Accobat does not disclose data to anyone else without the consent of the persons concerned, except where disclosure is required by a public authority or applicable law (please note that MailChimp acts as a data processor for event and newsletter subscriptions, meaning data is sent to a GDPR-compliant company outside the EU). Personal data provided to Accobat is used by management and administration. In some cases, data may also be processed by Accobat's board of directors. Non-sensitive personal data about Accobat's employees and customers is processed in accordance with Accobat's other data.

1.7 DELETION OF DATA
As a general rule, Accobat deletes all personal data that is no longer needed. However, for documentation purposes and to comply with accounting legislation, certain data is only deleted after 5 years. Any registered individual may request the deletion of all their data. Accobat will promptly comply with such a request and notify the individual once this has been done. Personal data relating to unsolicited applications for housing, jobs, grants or similar is deleted immediately.

1.8 CONSENT
Accobat considers the voluntary provision of ordinary personal data to constitute consent for Accobat to store and use data about the individuals concerned for the stated purpose. Certain sensitive personal data, such as personal identification numbers and information about personal finances, is stored and used only by specific agreement between Accobat and the data subject. Particularly sensitive personal data is stored and used only in very special circumstances and only with written consent. Every data subject has the right to find out what data Accobat holds about them and how it is used. Inaccurate information will be corrected promptly upon request. Accobat does not use personal data for direct marketing. Information about consent is published on Accobat's website. Recipients of newsletters/marketing emails/bulk emails have consented to receive them when converting or signing up on our website (this is stated at the point of conversion/sign-up). Consent may also be given when completing surveys and similar forms, where it is also possible to opt out. In addition, any recipient of these emails can unsubscribe with one click (see the SPAM provision of the Danish Marketing Practices Act).

1.9 DATA SECURITY BREACH
In the event of a data security breach, Accobat will notify the Danish Data Protection Agency within 72 hours. If the breach poses a risk of misuse of the rights of the individuals concerned, including discrimination, identity theft or fraud, they will be notified immediately.

1.10 PROCESS FOR DELETING PERSONAL DATA
To request the deletion of personal data, email info@accobat.com. The request is handled by the administration team, which monitors the INFO email address. The administration team forwards the person's name to the relevant employee. Internal IT ensures that any personal data is deleted from Active Directory, personal folders, Timelog (time-tracking system) and the Data Warehouse. Marketing ensures that any personal data is deleted from the CRM and newsletter systems. Management verifies that all personal data has been deleted.

A. INFORMATION ON THE ACCOBAT WEBSITE ABOUT THE PROCESSING OF PERSONAL DATA

Accobat has an internal data protection policy in accordance with the EU General Data Protection Regulation.

Accobat uses the personal data entered on the website or provided by letter, email, telephone or in person as a basis for planning meetings, seminars, sales follow-ups, etc. Accobat considers any provision of personal data in the above context to constitute express consent to the electronic recording and processing of that data in connection with handling the relevant request.

Accobat does not disclose or resell personal data to third parties except where required by law to disclose data to the authorities.

Accobat also uses the information provided to compile high-level statistics on training, applications and sales activities, etc. These statistics are used internally by Accobat for case management and are also published where relevant in annual reports and on Accobat's website.

Accobat stores personal data for as long as necessary for the purposes described above. Personal data is stored securely and is accessible only to Accobat's employees and management, and to Accobat's board of directors where an individual needs the information to handle a case. When there is no longer a clear and legitimate purpose for storing personal data, it is securely deleted.

Accobat can only process requests submitted to Accobat if you consent to the processing of your personal data.

You may withdraw your consent at any time. However, this means Accobat will be unable to process your request.

You may at any time ask what personal data Accobat processes about you, the purposes for which it is used, and object to its processing. Inaccurate information will be corrected immediately. Please direct enquiries to: info@accobat.com. If you believe your personal data is being used in violation of the General Data Protection Regulation, you may lodge a complaint with the Danish Data Protection Agency.
